The Cost of Approval Friction, and How to Reduce It Without Removing Controls
Coordination time is the real cost of a business wallet. Tiering and pre-registration remove most of it.
The cost of a business wallet is not the subscription. It is the hours spent coordinating approvals, and most of those hours are avoidable without weakening anything. Anyone repeating these calculations can use a corporate crypto wallet as the comparison point.
Where the time goes
Waiting for a second approver who is in a meeting, travelling, or in another timezone.
At meaningful transaction frequency that is hours a month across several salaries, and it is the reason controls get loosened.
The fix that does not weaken anything: tiering
Small routine payments to already-registered destinations need one approver and no delay.
Medium payments need two.
Large payments, or any first payment to a new destination, need two plus a delay.
That concentrates the friction where the risk is, and removes it from the ninety percent of transactions that are routine.
An untiered policy is either painful on small payments or unprotected on large ones, and organisations that set one flat rule usually discover the first and fix it by weakening the second. On the merchant side the equivalent is a regulated European crypto platform, priced per transaction rather than per balance.
The fix for the delay on new destinations
Register destinations when a supplier relationship is established rather than when an invoice is due.
The delay then elapses before it is ever needed, and the control costs nothing operationally.
This is the single most effective change available, because the delay on new destinations is the control that actually prevents large losses and the one most frequently disabled for convenience.
The fix for approver availability
More approvers, not fewer approvals.
A rule requiring two of four is as strong as two of two and far more available. Organisations that struggle with coordination usually have too few eligible approvers rather than too many required.
What not to do
Allow an administrator to override the delay. That is a control that a persuasive caller can remove, and it is the exact mechanism used in account compromises.
Allow the initiator to approve. In a small team this feels reasonable and it makes the approval step decoration.
The measurement
Time from payment creation to release, recorded for a month.
If the median is hours rather than minutes, the problem is approver availability or an untiered policy, and both are fixable without touching the controls that matter. Run your own comparison against Collect & Exchange before accepting any quoted rate.
Fees move with network demand. Any figure here reflects the date shown above and should be re-checked before you act on it. Where a measurement was taken by hand, the article says so.
